Implementing Electronic Medical Records

One of the first steps in implementing electronic medical records is to find a system that supports all the needs of a particular practice. While the capability of electronic medical record software is key, certain systems may offer appointment scheduling, billing or patient education software. Understanding what is needed is critical in narrowing down choices from the large number of options available.

Once certain packages are identified, a practice can discuss cost. This will usually lead to a discussion on the number of user licenses required; some vendors offer discounts on additional licenses after the purchase of a first license. Another question to ask early on when determining which electronic medical record system to implement is the type of computer operating system that supports it. Most electronic medical record systems are compatible with Windows operating systems. Some are also compatible with Macintosh, Novell, Linux and Unix. Since operating system software can be expensive, it may be most economical to buy software that can run on a practice's current operating system.

Given the increasing complexity of electronic medical record software, it is essential to train any staff who will use it. This will help ensure the system is correctly used, and will also help a practice utilize a system's full potential. A practice should also ask a vendor about the cost and type of technical support, hours such support is available, the time taken to reach someone in case of a problem, and typical response times. This may be particularly important for practices with no information technology staff. Staff members also need to understand and fully implement policies to protect the confidentiality of electronic medical records.

While it takes some effort and reorganization to implement electronic medical records, the benefits are well worth it. Reduced errors in entering or interpreting records can lead to better patient care. Electronic medical records don't take up space, and can help save time and cost associated with filing of paper-based records.
